The problem

Growth breaks the way you run the business

What worked at 10 people breaks at 40. The trouble isn’t your people — it’s the chaos of running a growing business from one person’s head.

What it looks like

  • Everything routes through you

Decisions, approvals and updates wait in your inbox until you get to them.

  • Priorities live in heads and slide decks

Ask five leaders what matters most this quarter and you’ll hear five answers.

  • Numbers sit in spreadsheets nobody opens

By the time someone notices a number slipping, it’s been slipping for weeks.

  • Meetings end without follow-through

Good decisions get made — then nothing happens until someone asks, “Did that get done?”

  • Every leader runs their area differently

No shared rhythm, no shared language, and no one place to see how it all fits.

  • The system you tried didn’t stick

Maybe it’s a binder from a workshop. It works for a few weeks — then the busy weeks win, and keeping up with it falls apart.

What it feels like

  • You’ve hit a ceiling. Growth stalls at the size one person can hold together.
  • You’ve lost the thread. You hear about problems once they’re already late.
  • You’re the bottleneck. Decisions wait for you, and so does everyone else.
  • You’re always chasing. Numbers, updates, the thing that was promised last week.
  • You can’t step away. Take a week off and things start to slip.

Growing a business shouldn’t mean holding it all together yourself.

Your AI leadership coach and operating partner

We know what it’s like to be the one everything runs through

The problem isn’t finding a system to follow. There are plenty — every business consultant has one to sell. The hard part is putting one in place and keeping up with it while you run the company.

LeaderSync makes that easy. Your AI coach builds your operating system with you, then makes it part of your team’s daily workflow — the email, chat and meetings you already have — so it keeps everything on track, holds people accountable and handles the tedious work, instead of becoming one more thing to maintain.

It works alongside your coach or advisor if you have one, and stands in if you don’t.

Why we built LeaderSync

“At Evolved Tech Group, we hit a plateau. Then the business grew fast — and chaos followed.”

— The team at Evolved Tech GroupBuilt by operators who run their own leadership team on it. Made in Canada.

We brought in coaching and adopted a leadership framework, and it helped. But the framework was never the hard part. Keeping up with it was: chasing numbers, updating spreadsheets, prepping meetings and following up on who owned what, week after week, while still running the company.

The system worked best in the weeks we had time for it — and in a growing business, those weeks are rare. So we built LeaderSync, to make the framework part of the daily workflow and keep it running even in the busiest weeks.

  • A complete operating framework

From the Vision Plan to this week’s action items — what a leadership team needs to run the business, in plain language.

  • Coaching built in

Your coach guides the team through building it — kickoff, Seat Map, Vision Plan, first priorities and numbers.

  • Central management, every week

Then it keeps everything on track — the record current and every owner followed up, fairly and consistently.

  • Nothing to take on faith

A 14-day trial with no credit card, security explained in plain language, and every subprocessor listed.

Most people don’t need another framework. They need one that actually keeps running.

Other tools give you a place to track your operating system. LeaderSync does the tracking for you — a coach in the flow of your week, not another app your team has to update.

The plan

Three steps from founder‑led to built to scale

No implementation project and no consultants. Set it up this afternoon, and your coach takes it from there.

  1. Weeks 1–4

Step 1: Build your operating system with your coach

Kickoff, Seat Map, Vision Plan, first priorities and numbers — guided step by step, with short prep questions and drafts for your team to review.

    • Kickoff and Seat Map
    • Vision Plan in two sessions
    • First priorities and numbers
  2. Every week

    Step 2: Stay on track

Your coach collects the numbers, preps and captures the meeting, follows up with every owner and handles the busywork — then sends the whole team a Friday digest.

    • Numbers on Monday
    • Agenda the day before
    • Follow-through after
  3. Quarter after quarter

Step 3: Scale with a team that owns it

Clear owners, honest numbers and meetings that end in decisions. You lead the business instead of chasing it.

    • One owner for every priority
    • Problems raised early
    • Your time back
The LeaderSync path

Your coach builds it with you, one stage at a time

Most teams never get an operating system off the ground because building one takes time nobody has. Your coach breaks it into short, guided steps — and tells you what’s next.

  1. Weeks 1–2

    Foundations

Get the basics in place: who owns what, what you measure, what matters now.

    What you build

    • A kickoff session with your leadership team
    • Your Seat Map, one owner per seat
    • Your Weekly Numbers
    • Your first Quarterly Priorities
    • Your Issues List and weekly meeting
  2. Weeks 2–4

    Vision

Agree where the business is going and what this year has to deliver.

    What you build

    • Your Vision Plan, built over two sessions
    • Values, focus and a long-term goal
    • A three-year picture and a one-year plan
    • Priorities lined up behind the plan
  3. Your first quarter

    Rhythm

Make the weekly rhythm a habit, with your coach handling the follow-up.

    What you build

    • The full weekly routine, every week
    • A Health Check baseline
    • Your Core Processes, written down simply
    • First Quarterly Check-ins
  4. Every quarter after

    Quarterly mastery

Plan each quarter and year with a team that owns the results.

    What you build

    • Quarterly planning sessions
    • Annual planning
    • A team that needs less help every quarter

How a coaching session works

No workshops to facilitate and no blank templates. Your coach does the prep and the paperwork; your team does the thinking and the deciding.

  1. Step 1

    Prep questions

Your coach sends each leader a few short questions by email or chat.

  2. Step 2

    Answers collected

It gathers everyone’s answers and chases the ones still missing.

  3. Step 3

    A draft to react to

It drafts the result — a Seat Map, a Vision Plan — for the team to review.

  4. Step 4

    Decisions captured

It can join your workshop call as a notetaker and records what you decided.

Your coach doesn’t talk in your meetings — it prepares, captures and follows up. Track every stage in the web app under Your path.

What you get

A framework to run on. A coach to keep it on track.

Two things, together: a complete, practical operating system for your business — and central management of it, so it gets used every week instead of forgotten.

Direction

  • Vision Plan

Where you’re going: values, focus, long-range goal and this year’s plan.

  • Seat Map

Who owns what — every seat, its owner and its responsibilities.

  • Quarterly Priorities

The few things that must get done this quarter, each with one owner.

  • Weekly Numbers

A handful of numbers that tell you every week whether you’re on track.

  • Core Processes

The way your company does its most important work, written down.

Central management

Your AI coach and operating partner

  • Guides you through building it
  • Keeps every record current
  • Collects the Weekly Numbers
  • Preps and captures the meeting
  • Follows up with every owner

One coach per company, keeping all of it on track.

Rhythm

  • Weekly Leadership Meeting

One focused meeting a week to review, solve and decide.

  • Issues List & Issue Solving

Problems captured, prioritised and worked through to a real fix.

  • Action Items

Who does what by when — followed up until it’s done.

  • Quarterly Check-ins

Regular one-to-ones between each manager and their people.

Central management

The part that makes it stick

Most operating systems don’t fail at the offsite. They fail in week six, when nobody has time to keep them up. Your coach does that work for you.

  • One central record

Your whole operating system lives in one place, kept current by your coach — and exports as plain files any time.

  • The tedious work, handled

Numbers, meeting prep, reminders and the Friday digest happen on schedule, without anyone having to remember.

  • Everyone accountable, fairly

Your coach checks in with whoever owns each number, priority and action item — the same consistent follow-up for everyone, one short note at a time.

  • Everyone sees the same picture

The agenda, the meeting recap and the Friday digest give the whole leadership team one shared view of the week.

  • Ask anything, any time

“Which priorities are off track?” Ask by email or in the web app and get a straight answer from the record.

Central management, every week

Everything on track, every week

Your coach keeps the rhythm going and handles the tedious work — the chasing, the logging, the reminding — so your team stays accountable and you can focus on building the business.

  1. Monday9:00

    Collects the Weekly Numbers

Asks each number’s owner, logs the replies and flags anything off goal.

Your coach“Sam, what was last week’s new-customer number?”

  2. Day before the meeting15:00

    Preps the meeting

Checks priority status with owners, gathers open issues and posts the agenda.

Your coach“Agenda’s up. Two priorities are off track; four issues are queued.”

  3. Meeting dayLive

    Takes notes, then follows through

A notetaker joins the call. Afterwards: action items, issues, priority updates and a recap.

Your coach“Recap: five new action items, two issues solved, one added.”

  4. Wednesday10:00

    Nudges on action items

One short reminder to each owner with something due this week or overdue.

Your coach“Dana, the revised proposal is due Friday. Still on track?”

  5. Friday15:00

    Sends the Friday digest

Numbers, priorities, what got done and what’s stuck — for the whole leadership team.

Your coach“This week: 9 of 11 numbers on goal, 6 action items closed.”

Every quarter

Quarter-close prep

Two weeks before the quarter ends, your coach starts the review: which priorities landed, which didn’t, and a draft list for next quarter.

Quarterly Health Check

On the first Monday of the quarter it runs a short Health Check with each leader and shares the results.

Times shown are defaults, in your company’s time zone. Owners and admins can change them — or switch a routine off — in the web app.

Meetings to follow-through

Meetings that end in decisions that actually happen

A notetaker joins your Weekly Leadership Meeting on Teams, Zoom or Google Meet. When the call ends, your coach reads the transcript and does the admin nobody wants to do.

  • Action items with an owner and a due date
  • New issues raised, solved issues closed
  • Priority status updated from what was said

The road to scale

From founder‑led to built to scale

Most growing companies move through the same three stages. LeaderSync is built to move you from one to the next — and to keep you there.

  1. Stage 1

    Founder-led

Everything runs through you. Priorities live in your head, the numbers in your inbox, and the business moves only as fast as you can.

    How LeaderSync moves you on

Clear seats and single owners: a Seat Map, and one owner for every priority, number and action item.

  2. Stage 2

    Team-led

Leaders own their areas and there’s a weekly meeting — but keeping the rhythm going still depends on you.

    How LeaderSync moves you on

A weekly rhythm that doesn’t depend on you: numbers collected, agenda prepared, notes taken, every owner followed up.

  3. Stage 3

    Built to scale

A leadership team that holds itself accountable, while you spend your time on where the company goes next.

    How LeaderSync keeps you there

The system stays current as you add people, seats and priorities — quarter after quarter.

What’s at stake

What changes when your team owns it

If nothing changes

  • Growth stalls at the size one person can hold together.
  • You burn out carrying it.
  • Good leaders leave when ownership is unclear.
  • Priorities quietly slip, quarter after quarter.

Good questions

What exactly is LeaderSync?

An AI leadership coach and operating partner for your company. It guides your leadership team through building a complete operating system for the business — Seat Map, Vision Plan, Quarterly Priorities, Weekly Numbers, the Weekly Leadership Meeting, issues and action items — and then keeps it on track every week: it keeps the record current, collects the numbers, preps and captures the meeting, and follows up with the right people — so you can focus on building the business.

What do you mean by an operating system for the business?

A shared way to run the company: where you’re going, who owns what, what matters this quarter, how you know you’re on track, and one weekly meeting where issues get solved and action items get owners. When every leader runs on the same system, the business stops depending on one person to hold it together.

What does “central management” actually mean?

Your operating system lives in one central record that your coach keeps current. It handles the weekly routine, follows up with every owner, and gives the whole leadership team the same picture through the agenda, the meeting recap and the Friday digest. There’s no dashboard to maintain: ask the agent anything, any time, and export the whole record as plain files whenever you like.

We’re growing quickly. Will it keep up as we add people?

Yes. Add leaders, seats and priorities as you grow, and your coach keeps the Seat Map current and follows up with whoever owns each piece. Only leadership-team members count as seats; everyone else your coach works with — number owners, project leads — is free.

Do we have to use your framework?

No. Start with LeaderSync’s framework, or keep the one your team already runs. Tell your coach the words your team uses and set the routine to your schedule; it mirrors your language in every message, agenda and recap.

We already use a framework. Why LeaderSync?

Because the framework usually isn’t the problem — keeping up with it is. LeaderSync makes the system you already use part of your team’s weekly workflow: your coach collects the numbers, preps the meeting, captures what was decided and follows up with every owner, in your team’s own words. You keep your framework; LeaderSync keeps it running.

Do we need a coach or consultant?

No. LeaderSync’s AI coach guides your leadership team through setting up the operating system — kickoff, Seat Map, Vision Plan, first priorities and numbers — and then keeps it on track every week. Already working with a coach or advisor? LeaderSync works alongside them, keeping the rhythm going every week between sessions, in the words your coach uses.

How do the coaching sessions work?

Your coach sends each leader a few short prep questions by email or chat, collects the answers, and drafts the result — a Seat Map or a Vision Plan, for example — for your team to review. It can join your workshop call as a notetaker to capture what you decided. It doesn’t speak in your meetings; you can follow each stage in the web app under “Your path”.

Does it replace our weekly meeting?

No. Your team still meets, talks and decides. LeaderSync prepares the agenda the day before, takes notes during the call, and makes sure what you decided turns into action items with owners and due dates.

Do we need Microsoft 365?

Yes, for now. Setup connects LeaderSync to Microsoft 365 for your team directory and calendars. People can sign in with Microsoft or with a one-time link sent to their work email. Your weekly meeting itself can be on Microsoft Teams, Zoom or Google Meet.

How does the meeting notetaker work?

A notetaker joins your weekly meeting from its link and shows up as a participant, so everyone can see it. After the call, your coach turns the transcript into action items, issues and priority updates, and sends a recap. Let attendees know the meeting is transcribed.

How much does it cost?

$49 USD per leadership-team member / month, after a 14-day free trial. No credit card needed to start. Only the leadership team members you add count as seats.

Is our data used to train AI models?

No. LeaderSync does not train AI models on your data, and our AI provider, Anthropic, does not train its models on data sent through its commercial API.

Where is our data stored?

The LeaderSync application and database run in Canada, in Amazon Web Services’ Canada (Central) region. A few subprocessors — including Anthropic for AI and Recall.ai for meeting transcription — process data outside Canada. They are listed on our Security page.
